Requests from staff
One number and one address instead of hunting for whoever knows. Every request has a number and a deadline, and once a month you get a summary of what happened to them.
Our office is just outside Poznań, which puts us a good hundred kilometres from Konin along the A2 motorway. We are not going to pretend that makes no difference. It does, but only for one thing: physically touching the hardware. All the rest, which is the great majority of the work, happens over the network and looks exactly the same here as for a client on the next street. Below we set out how we arrange the support so that the distance costs you nothing.
Honestly about the limits of this model: if you want somebody in the building every day or on site half an hour after a phone call, we are not it and you are better off hiring locally. Our offer is for companies that want their IT run properly rather than a person in the corridor. That arrangement has an advantage few people mention: a remote firm cannot hide behind being present and has to show results in a report.
Rather than promising a drive that cannot be kept at eight in the morning, we arrange the support so the drive is needed as rarely as possible.
Accounts, passwords, mail, permissions, updates, the server, programs and most requests from staff. That is over eighty per cent of the work and distance changes nothing in it at all, including the response time.
We agree regular trips and while there do everything that needs hands: inspections, replacements, new desks, order in the cabinet. At this distance planning is cheaper and works better than driving out after every phone call.
This is the key part of the whole arrangement. Servers and workstations are bought with a maker warranty that includes repair at your premises, usually the next business day. Then a failed disk brings out the makers engineer rather than somebody of ours from across the region.
Two more things we do as standard in Konin and not always nearer home. Hardware is configured at our place before dispatch, so a new computer arrives by courier ready to work and only needs plugging in. For critical setups we also keep a spare power supply, disk or switch at your site, because a part sitting in the cabinet is available at once and a parcel is not.
Konin, Koło, Turek and Słupca are moving away from brown coal. This is not political background but a concrete change in the companies that work here.
The Konin subregion is receiving 414.8 million euro from the European Just Transition Fund, and with national co funding the whole pot comes to about 569 million euro. The money runs until 2029, and by mid 2026 roughly eighty per cent had already been contracted.
Companies here are changing trade, opening new halls and lines, and some are taking on people leaving the power industry. Every such undertaking means a new network, new desks and a new system to roll out, usually to a deadline that cannot move.
In an investment settled against a grant it matters not only that something works but that it was bought and documented in line with the agreement. We work with your funding adviser, supplying specifications and acceptance records in the form they need.
A caveat so there is no misunderstanding: we are not a grants consultancy and we do not write applications. We do the technical part and the documentation that goes into an application. Whether a particular cost is eligible is a question for the authority running the call or for your adviser, because it depends on them and not on us. The figures on the fund come from the European Funds for Wielkopolska 2021-2027 programme.
Six areas of ongoing support. At a distance like ours it is especially worth handing over the ones that can be run remotely end to end.
One number and one address instead of hunting for whoever knows. Every request has a number and a deadline, and once a month you get a summary of what happened to them.
Running the server without entering the server room, watching the state of the disks and the power, and keeping an eye on when support for the system ends.
Managed switches and access points that can be configured and repaired remotely. When working from a distance that is not a convenience but a condition.
A copy at your place and a second one off site, with a restore test. With support from a distance this is what saves the day most often, because data can be recovered without anybody driving out.
Microsoft 365 or Google Workspace instead of a mail server in the office. The fewer services stand physically at your place, the fewer things need somebody present.
Sizing, buying with the right warranty, configuring before dispatch and delivery by courier straight to you. Old hardware we collect on a planned visit.
What we do not promise at this distance: swapping a computer within two hours of a request, or being there for every desk move. If such things happen weekly at your place you need somebody on site, and we can then support that person rather than replace them.
The first time we always come out, because an environment cannot be understood from a questionnaire. Only then do we move to remote working.
We drive to Konin, look at the server room, the cabinet and the desks, list the hardware and check what still has a warranty. That visit is free even if nothing comes of it.
You get a description of the actual state and a list of things to do, split into urgent and planned. Separately we point out what has to change so it can be managed remotely, because that drives the cost of support.
We list the credentials, document the configuration and bring the environment to a state where everything important has emergency remote access. It is a one off job that then saves every later trip.
Requests handled remotely as they come, trips on an agreed rhythm, a report each month. Notice is one month, so if the model does not suit you, nothing ties you down.
Te same narzędzia prowadzimy u klientów w Konin i w pozostałych miastach, w których pracujemy.
The pages that come back when ongoing support is discussed.
We answer a critical request within thirty minutes and start remotely, exactly as in Poznań. If it turns out the hardware has to be touched, for a server or computer under warranty we call out the makers engineer, who comes to you. Our own trip is normally planned for the next business day and we say so plainly instead of promising an hour.
Sometimes yes, and we say so openly. If you need somebody present daily, a local person will always beat us. Our advantage starts where one person stops being enough: servers, networks, security and rollouts, where several different specialities are needed at once, and also when you want continuity through holidays and sickness.
On a standing contract we agree in advance how many visits there are each month or quarter, and they sit inside the retainer together with the travel. Extra trips outside that rhythm are quoted before setting off, never afterwards. We do not bill by the kilometre, because over a hundred kilometres that would turn every conversation about a fault into a negotiation.
Yes, the whole of eastern Wielkopolska is one area for us, including Kleczew, Ślesin, Golina and the smaller places around. Since we are on the motorway anyway, a dozen kilometres off it changes nothing. Where there are several visits we try to fit them into the same day.
Then the distance really does become a problem, because in a breakdown there is nobody to call and it all falls to us. In that case we either plan a replacement with hardware covered by on site repair, or keep spare parts at your place and prepare a copy the environment can be started from on another machine. We write this into the review at the very start so it is not a surprise.
On the technical side yes: hardware specifications, the rollout, acceptance records and as built documentation in the form the person settling the grant needs. We do not write applications and do not rule on whether a cost is eligible, because that belongs to the authority running the call and to your adviser. We have worked on such projects, though, and we know their deadlines do not move.
That is precisely the arrangement where a remote firm does better than a local person, because the support does not depend on which branch somebody happens to be in. We then run one environment and one register of requests for all the sites, with visits planned in rotation. Several of our clients in the region work exactly this way.
The first meeting takes 30 minutes and commits you to nothing. We will tell you straight whether we can help and what we would propose.
